How it works

The machine, the money, and the maintenance — explained without the sales gloss.

What is an AI smart cooler?

An AI smart cooler is a refrigerated vending cabinet with no coils and no buttons. The customer taps a card or phone to unlock the door, takes whatever they want, and closes it. Cameras and weight sensors identify what was removed and charge the card automatically.

The technology

Open the door. Take what you want. Walk away.

A Valorian smart cooler doesn't have buttons, selection codes or a spiral to get stuck on. It works the way a fridge works, with the payment happening quietly in the background.

Tap to unlock

The customer taps a credit card, debit card, Apple Pay or Google Pay at the reader. The card is authorized — not charged — and the door unlocks with an audible click.

Take anything, take several

No selecting, no limits. They can grab one drink or fill their arms. They can put something back and take something else instead. It behaves exactly like a store cooler.

Close the door

AI cameras and per-shelf weight sensors reconcile what left the cooler in about 60 seconds — the manufacturer rates recognition accuracy at 99%. The card is charged for what was taken and a receipt goes to the customer. If a charge is ever wrong, the customer contacts us and we refund it the same business day.

We see it instantly

The sale, the remaining stock, the internal temperature and the machine's health all land in our dashboard in real time. That's how we restock before a shelf goes empty.

The practical answers

What you actually want to know

The questions a facilities manager asks on the second call, answered here on the first.

How often we come

A scheduled on-site visit at least every 14 days, and more often once sales data says a location needs it. Between visits, live stock levels trigger an unscheduled run when a fast mover drops low.

When something goes wrong

One number, and it's the owner's. Calls and texts answered 7am–8pm daily; anything left overnight gets a reply by 8am. Door faults, temperature alarms and offline units alert us automatically. On site same or next business day on the coast.

Your network stays untouched

We supply our own cellular connection. The machine never joins your WiFi, so there is nothing for your IT team to review and your property stays out of scope. WiFi is available instead if you'd prefer it.

Food safety and date rotation

Every visit includes a full code-date check — anything close to its pull date comes out at our cost, never discounted. Chilled units hold a 34–40°F setpoint and log temperature continuously; product that goes out of range is destroyed, not re-sold.

If a customer is charged wrongly

Every machine carries our contact details where a customer can see them, so a guest reaches us directly instead of your front desk. Refunds go back to the original card, confirmed the same business day.

When Jeff isn't available

Monitoring and alerts run whether anyone is awake or not, and planned time away is covered by trained backup with keys, stock and the route. Being small shouldn't mean being a single point of failure.

Who does what

The division of labor

This is the part most hosts want in writing. Here it is.

Valorian Vending handles

  • Buying the machine and delivering it
  • Installation, leveling and network setup
  • All product purchasing and stocking
  • Cleaning and sanitizing at every visit — glass, screen, handle and shelves
  • Repairs, parts and technical support
  • Pricing, planogram and seasonal changes
  • Every customer refund and complaint
  • Card processing, reporting and any applicable taxes
  • Liability insurance on our operation
  • Removal at the end, at our cost

You handle

  • Floor space — roughly a fridge-and-a-half footprint
  • One standard 110V outlet within reach
  • Reasonable protection from weather and freezing
  • A clear path in on delivery day — we measure it first
  • Pointing guests toward it when they ask

That's the entire list. No staff time, no keys, no cash drawer, no purchase orders, no responsibility for anything that goes wrong inside the machine.

The money

How a free machine pays for itself

We buy the machine and the product. When someone buys a Gatorade, we make the margin. That's the whole business — there is no hidden fee waiting for you in month three.

Our locations take a machine as an amenity: a modern, quiet, 24/7 service for their guests or staff, at no cost and no effort.

What about a share of the sales? For locations with serious foot traffic, a commission is worth discussing. Most of our hosts take the machine as an amenity and leave it there — but if you think your volume justifies it, ask and we'll give you a straight answer for your site.

Electricity, honestly: a refrigerated cooler adds roughly $7–19 a month to your power bill depending on the model; the Freezer 550 is nearer $30. We'd rather you hear that from us than find it on a statement.

Not sure yet?

Take the 60-day trial instead

We'll place a machine at your location at zero cost for 60 days. You watch how your guests use it and what your front desk stops getting asked for. If it doesn't earn its floor space, we pull it out — no obligation, no argument, no invoice.

Let's see if your location is a fit

Tell us a little about your property. If it makes sense, Jeff comes out, looks at the space, and you have a machine within a couple of weeks. If it doesn't, we'll tell you that too.
